What we do with your players' data

What a player record actually contains

Everything we store about a player on your roster:

• Their name
• Jersey number
• Position
• Birth year, if your roster import included one
• Evaluation scores and written comments from your coaching staff
• Check-in notes a coach adds during the season
• The goals they write themselves, in their own words
• Challenge activity they log
• Game stats, if your staff uploads game sheets: goals, assists, penalty minutes, and goalie numbers like saves and goals against
• Tryout results, if your program runs Tryout Mode: jersey number, evaluator grades, and the staff's decision for each skater

That's the complete list.

What we never collect

Not "we don't currently." There is no field for these anywhere in the product:

• No player email addresses
• No player phone numbers
• No home addresses
• No dates of birth (birth year only, and only if you import it)
• No photos of players
• No medical or health information
• No player accounts and no player passwords

We also don't sell data, and player data is never used for advertising. The site uses Google Analytics to count page visits, including visits to player links. It sees standard visit data like device and browser type. We don't send it player names, goals, evaluations, or anything else from a player record.

Players never create an account

This is the part most programs care about, so it's worth being explicit. A player never signs up for anything. The coach generates a private link, the player opens it, answers, and that's the entire interaction.

There is no password for a player to lose, no login for someone else to guess, and no account that can be used to track a kid anywhere. Each link is tied to one player and one purpose.

Who can see a player's data

• The player's own coaching staff: the coaches invited to that team
• Association admins: for teams inside their own program only
• Us: only when you ask for support and only to fix what you reported

This is enforced at the database level, not just in the interface. Every table uses row-level security with team-scoped policies, so a coach from another association cannot reach your program's data even if something in the app misbehaved. Sign-in is handled by Clerk; we never store or see coach passwords.

How AI is used, and what gets sent

End-of-season feedback is drafted by Claude, made by Anthropic. When a coach generates a draft, what gets sent is that player's name and position, plus their season material: the goals they wrote, evaluation scores and comments from the staff, and check-in notes.

Under Anthropic's commercial API terms, that material is not used to train their models. It's used to produce the draft and nothing else. No player data is used to train any model, ours or anyone else's.

A coach reviews and edits every draft before it goes anywhere. Nothing is sent to a player or family automatically.

Where the data lives

Hockey Coach Hub runs on Supabase (database) and Vercel (hosting), with Clerk for sign-in and Anthropic for feedback drafting. Those four are the only companies that touch your data, and each one only handles the part it needs to run the service.

Connections are encrypted in transit (HTTPS), and data is encrypted at rest by our database provider.

Getting your data out, or deleted

Export: you can export evaluations, goals, check-ins, and letters to a spreadsheet whenever you want. That stays true even if your trial ends or you stop paying. If you decide to leave, you take your data with you.

Removing one player:a coach can remove a player from the roster at any time from the dashboard. That takes them off the active roster but keeps their history, so nothing is lost by accident. To permanently delete a player's data, email us at the address below and tell us which player.

Deleting everything: email privacy@hockeycoachhub.com and we'll delete the account and its data within 30 days, except where the law requires us to keep something.

If a parent asks your program to remove their child's record, you can do that yourself immediately. You don't have to wait on us.

COPPA and under-13 players

Hockey Coach Hub is built for coaches and program administrators, not for direct sign-up by children. Player records are created by verified coaching staff, and we do not knowingly collect personal information directly from a child under 13.

Your association holds the relationship with families and is responsible for the notice and consent practices your program follows. We act as a service provider to your program: we process what your coaches enter, on your behalf, and we don't use it for anything else.

If you believe a child under 13 has submitted information directly to us, email privacy@hockeycoachhub.com and we'll delete it promptly.
